We work with insurance carriers, other agencies and clinics (business to business clients) as well as directly with those clients on a family building journey. Specific Duties and Responsibilities:
- Maintain database of clients and keep detailed and ongoing records of each client
- Tracking via CRM of clients: policies, payments, claims, change in information
- Receive, process, and follow-up on insurance policies – this may include payments, needed documents, grievances, applications
- Maintain open communication with clientele
- Work with over 150 different clients
- Work collaboratively with agents, claims, and billing to ensure transparency between departments and clients
- Phone calls to insurance companies, clients, and provider offices when necessary
- Perform other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit
- File paperwork and maintains organization of files
- Maintain a neat work area, professional appearance, and personal conduct at all times
Minimum Qualifications:
- Customer Service Work Experience: 4 years (required)
- Associates Degree accepted, Bachelor’s Degree preferred
- At least 5 years’ experience in an office environment
- Data entry: 2 year (preferred)
- High Proficiency in MS Office, Word, Excel, and Outlook; ability to operate standard office equipment
- Strong administrative writing skills and excellent verbal communication skills are essential
- The ability to work independently and carry out assignments to completion within the parameters of instructions given, prescribed routines, and in accordance with provided Standard Operating Procedures
- Capable of effectively managing time with assigned tasks and the ability to multitask and prioritize according to deadlines and information provided by Team Lead or other personnel

Specific Duties and Responsibilities:
To Ensure Successful Processes-
- Study and learn the products and services from ART Risk’s product portfolio.
- Determine clients' particular needs and financial situations by scheduling fact-finding appointments; determining extent of present coverage; ascertaining long-term goals.
- Develop a coordinated protection plan by calculating and quoting rates for immediate coverage action and long-term strategy implementation.
- Complete coverage by delivering policy; planning future follow-up visits and evaluations of needs.
- Provide continuing service by providing necessary forms; processing changes.
- Communication with policyholders to deliver and explain policy, analyze insurance program, and suggest additions or changes, or to change beneficiaries.
- Customize insurance programs to suit individual clients, often covering a variety of open risks.
- Contact underwriter, and submit forms to obtain binder coverage.
- Ensure that policy requirements are fulfilled, including any necessary medical examinations and the completion of appropriate forms.
- Explain features, advantages and disadvantages of various policies to promote sale of insurance plans.
- Work with our claims management team to monitor insurance claims to ensure they are settled equitably for both the client and the insurer.
- Perform administrative tasks, such as maintaining records and handling policy renewals/changes.
To Ensure and Build Client Relationships-
- Enhance insurance agency reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to the team and company.
- Attend meetings, seminars, and programs to learn about new products and services, learn new skills, and receive technical assistance in developing new accounts.
- Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
- Participate in developing marketing strategies to compete with other individuals or companies who sell insurance.
- Meet by phone appointment with agencies and attorneys routinely to build a trusted, client partnership. Ask pertinent questions about how ART Risk can best be of service to them as well as their expectations of our role with their company/clients.
- Schedule phone appointments with individual clients and provide them with an overview of ART Risk offerings based on their specific needs. Build trust with every interaction by listening to their needs while showing empathy and kindness.

- Answers incoming telephone calls in a clear and professional manner.
- Directs callers to appropriate team members, directs them to a voicemail box, or takes message and ensures it is given to appropriate person.

- Greets clients or visitors when they arrive at office and directs them to other personnel to fulfill their needs.
